Learning Management (LMS): Track mandatory and development training in a single record

In short

The Learning Management (LMS) module in Sora İK (the HR management software by Sora Yazılım Teknolojileri) defines corporate training in a catalogue, assigns it to people and keeps completion records per employee. For training with a validity period, the end date is tracked; for basic OHS (İSG) training, the repeat interval is calculated from the company's hazard class.

Who is it for, and what problem does it solve?

The learning module is for businesses that keep training records in attendance lists, signed forms and files scattered across folders. With this method, the answer to “Which training did this employee take, when, and where is the certificate?” has to be searched for every time, and training whose validity has expired is often noticed only after an inspection or an incident.

  • HR and training coordinator: manages the catalogue and sessions, assigns training to people, departments or positions, and enters completion records.
  • Occupational health and safety (İSG) professional: sees in a single list who received mandatory training, what has expired and which employees are missing basic training.
  • Line manager: sees their own training on the “My training” screen, and the expired and missing basic İSG training records of their direct and indirect team on the “Expired and missing” panel. A list of the team's open assignments is coming soon.
  • Employee: sees the training assigned to them and their training history on the “My training” screen.

Plans are based on the number of active employees; details are on the pricing page.

What does the learning management module do?

The learning management module records every step per employee, from defining the training to the completion record.

  • Training catalogue: name, description, type, internal or external training and the provider, duration and validity period; a course with assignments is not deleted but deactivated. Cost and capacity fields are coming soon.
  • Sessions: date, place, trainer and an in-person, remote or blended method.
  • Bulk assignment: assignment, with a due date and session, to active employees in any combination of selected people, departments and positions; people who already have an open assignment for the same course are skipped.
  • Completion record: date, result, score, certificate number and note. The certificate document is uploaded to the employee's employee documents; selecting it on screen to link it to the completion record is coming soon.
  • Validity and renewal: an end date calculated from the last completion, a list of training expiring within 30 days and already expired; an email reminder as the end date approaches is also coming soon.
  • İSG rules: repeat interval of basic training by hazard class, duration warnings and a list of employees still missing basic training after their start date (details below).
  • List and record trail: assignment and completion records are listed by course, and every change is written to the audit log; a CSV report of the records is coming soon.

For new employees, the suggested template in the onboarding checklist includes a “Plan occupational health and safety training” task; HR makes the assignment. Hosting online content (PDF, video), assessment questions, training requests and approval, rule-based automatic assignment, a training calendar and target audience definitions are not available yet and are coming soon. Employees recording their own training as completed is not available either; a user with training permission enters the completion record. Competency and career planning is a separate module that is coming soon; it is listed on the Performance & Development category page.

Training type Example Tracked in Sora İK
General Company induction, professional and technical training, personal development Assignment, completion, optional validity period
İSG induction Training before actually starting work Remote sessions not accepted; duration warning
İSG basic Training repeated according to hazard class Repeat interval, duration warning, minimum pass score
İSG refresher and post-accident Additional training on return to work Assignment and completion; no automatic assignment
External training Course, seminar, certificate programme Provider, certificate number; cost field coming soon

How does it work?

The training cycle is set up in five steps and then followed through the expired training list.

  1. Enter the hazard class and the catalogue. Select your workplace's hazard class in the İSG settings; define courses with their type, duration and any validity period.
  2. Plan the session. Enter the date, place, trainer and method.
  3. Assign the training. Make a bulk assignment by selecting people, departments or positions; set the due date and session.
  4. Record completion. Enter the date, result, score and certificate number; upload the certificate document to the employee's documents.
  5. Track what expires. Follow records nearing their end date, expired records and missing basic training from the list, and make renewal assignments.

What does Sora İK do, and not do, in tracking İSG training?

Sora İK tracks the assignment, completion record and repeat timing of İSG training; it does not determine the content of the training or who may deliver it. The rules are taken from the Regulation on the Procedures and Principles of Employees' Occupational Health and Safety Training, published in Official Gazette No. 33212 dated 2 April 2026; this regulation repealed the earlier regulation from 2013. The overarching framework is Occupational Health and Safety Law No. 6331.

Provision of the regulation In Sora İK
Basic training is repeated at least once a year in the very hazardous class, every two years in the hazardous class and every three years in the less hazardous class (Art. 14) The validity of basic training is calculated as 12, 24 or 36 months according to the company's hazard class
Basic training is at least 16, 12 or 8 class hours (very hazardous, hazardous, less hazardous); repeat training is at least 8 class hours (Arts. 13 and 14) A warning is shown if the catalogue duration is below this; the record is not blocked
Basic training is completed within three months at the latest from the start of employment (Art. 8) Active employees who started more than three months ago without completing basic training are listed
Induction training is at least two hours, practical and in person (Art. 7) Remote sessions are not accepted for this type, and a warning is shown if the duration is under two hours
A score of at least 60 out of 100 in the exam is a pass (Art. 16) For basic training, a “completed” record cannot be entered with a score below 60

Your company selects its own hazard class; if no class is selected, the end date of basic training is not calculated and a warning appears on screen. Determine your workplace's class and training programme together with your İSG professional. Because the record of additional training given after a work accident or occupational disease can indirectly reveal the person's health status, these records are visible only to users with special category data permission and to the person concerned.

The Occupational Health & Safety module, covering İSG processes as a whole, is coming soon; it appears on the Compliance & Reporting category page. Training records are viewed under role-based permissions; the infrastructure where data is hosted is described on the security page.

Frequently asked questions

Does Sora İK provide ready-made training content?

No. Sora İK is not a training provider and does not supply ready-made training content. Training is delivered by your own team or an external provider; hosting content such as PDFs, presentations or videos in the module is coming soon. The module's job today is to record who the training was assigned to, which session it was delivered in, who completed it and when its validity ends.

How is training that must be renewed tracked?

You give a catalogue course a validity period in months; the end date is the person's last completion of that course plus this period. Records expiring within 30 days or already expired appear in a separate list, with renewal assignments flagged. Basic İSG training takes its period from your company's hazard class instead. An email reminder before the end date is coming soon.

How is external training recorded?

External training is defined in the catalogue as “external”, with the provider's name; duration and validity are entered, and a cost field is coming soon. The participant is assigned, and on completion the date, result and certificate number are recorded. The certificate itself is uploaded to the employee's documents; linking it to the completion record on screen is also coming soon. In-house and external training share one list.

Who records that training has been completed?

A user with training permission enters the completion record: completion date, result (completed, failed or cancelled), a score from 0 to 100 if any, the certificate number and a note. Employees see their own training but cannot mark it completed themselves. No user other than the company owner can enter an assignment or completion record on their own card; this rule helps keep records independent.

How are training records presented in an inspection?

You can list assignment and completion records by course; employees see their own records on the My training screen. Every change to the records is written to the audit log. Exporting training records as a CSV report is coming soon. Which documents must be kept, in what form and for how long varies by training type and the scope of the inspection; follow your İSG professional's and legal adviser's guidance.

Does only HR manage the training catalogue?

By default, the company owner, system administrator and HR manage the catalogue, sessions and completion records. A training coordinator or safety specialist can get a custom training role; to select people, it must include employee and organization read access. It does not see pay or payroll. Line managers see their own training and their direct and indirect teams' expired and missing training; listing open team assignments is coming soon.
