Which tasks do the employee management modules cover?

Employee management modules keep an employee's record at the company in one place, from their first day to their last. In this category, Sora İK (Sora Yazılım Teknolojileri's human resources management software) brings together who the employee is, where they sit in the organization, which processes they go through and which documents they hold. Modules in other categories, such as leave, payroll and performance, also draw on these records; that is why employee management is the foundation on which the rest of your human resources (HR) processes are built.

The following modules in this category are available today:

Personnel records contain personal data, such as identity and contact details, that must be protected under KVKK (Türkiye's Personal Data Protection Law No. 6698). Our approach to protecting this data is described on the Security and data protection page, and plans and prices on the Pricing page.

Which employee management modules are coming soon?

The record backbone is available today; the following modules for the day-to-day work that revolves around these records are coming soon. Their scope will be defined during development; the descriptions here outline planned functions.

Module What it does
Asset Assignment Track company assets issued to employees, and their return, per person
Announcements Deliver internal announcements to the target group and record that they were read
Employee Requests Collect and resolve requests such as documents, data changes and equipment through one channel

The full list of other categories and modules is on the Modules page.

Asset Assignment Coming soon

Asset Assignment is being designed to track company assets issued to employees, such as laptops, phones, vehicles, access cards or workwear, per person. In many businesses, asset details live in a separate spreadsheet or on signed paper forms, and what must be returned is often remembered only on an employee's last day. The planned module will record each handover with its date, serial number and recipient, and link the handover form to the employee's Digital Employee Records entry. The aim is to add a return checklist to the departure steps in Onboarding & Offboarding and to alert the responsible person when an item is missing. On the asset side, you will see who holds an item now, who held it before and in what condition it was received. Lost or damaged equipment will then be backed by documents rather than memory, and the same record will help plan equipment renewals. Personal protective equipment issued to employees will be tracked on the same structure, feeding the occupational health and safety work in the compliance category.

Announcements Coming soon

Announcements aims to get internal announcements to the right employees without them getting lost in email threads and messaging groups. In businesses with several locations, field staff or shift teams, it is hard to know who a policy change reached and who read it. In the planned module, announcements can be targeted by department, location or position, based on the structure in Org Chart & Positions. Recording read status and, when needed, asking employees for a "read and understood" confirmation will help document that updates to internal regulations or procedures were communicated. Employees will follow announcements from the Employee & Manager Self-Service screen. Quickly reaching only the affected employees in an emergency, such as a power outage at one location, is also a goal. The archive can later show which internal rule was in force on a given date. The module is not meant to be a social network but a formal, recorded internal channel; informal sharing and events are covered separately in the employee experience category.

Employee Requests Coming soon

Employee Requests is coming soon to collect the documents and actions employees ask HR for through a single, recorded channel. Employment certificates, salary letters, address changes, training requests or equipment requests mostly arrive today by email, phone or in person; nobody can see which request is waiting with whom, and the same question is asked several times. In the planned module, every request will have a type, an owner and a status, and employees will see the stage of their request on their own screen. Approval steps by request type will be set up with the Workflow & Approval Designer, used today for leave requests; an equipment request might go to the manager first, while a document request goes straight to HR. Companies will be able to set a target completion time per request type, and owners will be reminded of delayed requests. Completed document requests will be stored in the employee's record with the prepared document. Request history will also show HR where it spends the most time. Leave requests are outside this module's scope; they are handled in Leave Management.

Frequently asked questions

What information do the employee management modules bring together?

Employee management modules gather an employee's personnel file details, their position in the org chart, onboarding and offboarding steps and their documents on the same record. Processes in other categories, such as leave, payroll and performance, draw on this record. The scope of each available module is described on its own page; modules coming soon are introduced on this category page.

Where can I store asset handover forms while there is no asset module yet?

Today you can store signed asset handover forms in Document & Contract Management, among the documents on the employee's personnel card; as there is no separate document type for them, the “Other” type is used. When Asset Assignment is added, handovers, returns and asset history will be tracked as separate records. How existing documents link to these records will be decided once the module's scope is set during development.

What is the difference between Employee Requests and self-service?

Self-service lets employees see their own personnel card, leave balance and payslips, and carry out tasks such as leave requests and PDKS clock-ins from their own screen. Employee Requests, coming soon, will add a recorded channel where requests such as documents, data changes or equipment are tracked by type, owner and status. Requests will be opened from the self-service screen and followed on the HR side until they are resolved.

Will the Announcements module replace email announcements?

The aim is not to eliminate email but to collect official internal announcements in a recorded channel. In the planned module, you will be able to track who an announcement was sent to and who read it, and ask employees for a read confirmation when needed. Email or mobile notifications may still serve as complementary channels that signal a new announcement has been published.

Who can see personnel file information?

Access to personnel records is restricted according to the roles defined in the Roles, Permissions & Security module. A manager can be authorized to see only their own team's information, and an HR specialist only the records within their permissions. Decisions on which data is kept, for what purpose and with whom it is shared remain with your company as the data controller.

What happens to the employee record when someone leaves?

Once an exit record is entered, the employee leaves the active employee list after their last working day; their records are not deleted and stay visible in the exit list. Their login account can be closed manually in the exit record. The company, as data controller, sets retention periods. Listing expired records and approved erasure, anonymization or destruction with a written record are part of KVKK Compliance Management, coming soon.
