Attendance Ledger (Puantaj): A monthly sheet that fills itself from PDKS and leave records

In short

The Attendance Ledger (Puantaj) module in Sora İK (the HR management software by Sora Yazılım Teknolojileri) produces a monthly sheet showing every employee's days as worked, weekly rest day, public holiday, leave, sick leave or absence. The sheet is calculated automatically from PDKS (time and attendance), leave and holiday records and exported as CSV; the period lock is coming soon.

Who is it for, and what problem does it solve?

The Attendance Ledger (Puantaj) module is for payroll and HR staff who, at month end, combine clock-in reports, leave lists and medical reports in Excel and carry the result into payroll. With this method, month-end closing depends on matching several sources by hand, and the typical problems are:

  • Because the sources are separate, the same day can show an employee as both on leave and at work.
  • Corrections that arrive after closing make it unclear which version went to payroll.
  • There is no record of who changed a day, or why.
  • A missing-day error is noticed only after payroll is calculated or the employee objects.

The module combines the sources in a single sheet, warns about conflicting records and writes every mark and manual entry to the audit log. Period approval and lock, and the transfer of the locked period to payroll, are coming soon. It is the final link in the Time & Attendance category.

What does the Attendance Ledger (Puantaj) do?

The module links every day of the month to a day code and makes the period exportable as a CSV file. The functions available today are listed below; those coming soon are marked separately:

  • Monthly sheet: employees in rows, days in columns; each cell shows the day code's abbreviation, a colour and a description. Holiday and weekly rest day columns are marked; on mobile the sheet appears as a list per employee. There is a department filter, search and month navigation.
  • Automatic calculation: daily working, break, late arrival, early departure and night hours from Time & Attendance (PDKS); approved leave from Leave Management; weekly rest days, public holidays and company holidays from the company calendar.
  • Fixed code set: worked day, weekly rest day, public holiday, annual leave, paid leave, sick leave, unpaid leave, absent and not employed. The codes and their abbreviations are defined in Sora İK and cannot be changed by the company.
  • HR day marks: sick leave, paid or unpaid excused absence, absence and “no record but worked” marks are entered for a date range. The sick leave mark has no diagnosis or document field; the screen reminds users not to write health information in the optional note, and the note is not shown in the team view.
  • Warnings: missing clock-in or clock-out, conflicting records for the same day (for example a work record while on leave), and exceeding the weekly and daily working limits, the night work limit and the annual overtime ceiling. Legal-limit warnings are shown with the underlying article; warnings do not block the record.
  • Overtime items: overtime and work at increased hours are not calculated from clock-in and clock-out records; HR enters the durations manually as items with date and minutes. The year's total and the status against the 270-hour annual ceiling appear on the same screen, and a warning is shown when the ceiling is exceeded. The items are not transferred to payroll automatically; today, overtime pay can be entered manually in payroll as an additional payment item.
  • CSV export: a CSV file (with Turkish or English headers) containing employee number, full name, department and period, plus columns for worked days, weekly rest days, public holidays, days worked on public holidays and weekly rest days, annual leave, paid leave, sick leave, unpaid leave, absence, hours worked, hours of overtime and work at increased hours, and days with missing records. The file can be used in payroll preparation.
  • Coming soon: period approval and lock: managers will check their team's period, HR will approve it and the period will be locked; a locked period will be reopened by entering a reason.
  • Coming soon: transfer to payroll: the locked period will become an input to the Payroll (Türkiye) calculation; unpaid leave, absence and sick leave days will enter the calculation as missing days, and premium days will be determined accordingly. Today, payroll days are calculated from the start and leaving dates.

Overtime calculation and compensatory time (denkleştirme), as well as shift scheduling, are also coming-soon modules; they are described on the category page under Overtime & Compensatory Time and Shift Scheduling.

Abbreviation Day code Source
Ç Worked day PDKS record; on a schedule where no record is expected, the working day itself; or an HR mark
HT Weekly rest day Company work calendar
GT Public holiday Official holiday calendar and company holidays
Yİ Annual paid leave Leave Management
Mİ Paid leave Leave Management or an HR paid excused-absence mark
R Sick leave HR sick leave mark; the sick leave type is coming soon, and approved sick leave will also go to this code
Üİ Unpaid leave Leave Management or an HR unpaid excused-absence mark
D Absent No record on a past working day where one was expected, or an HR mark
İ On leave (excused) Manager view only: sick leave and paid excused days
– Not employed Days before the start date or after the leaving date

Abbreviations are always shown with their descriptions; colour never carries information on its own.

How does it work?

The ledger fills itself during the month and is checked and exported at month end:

  1. Set up the calendar and schedules. Enter weekly rest days, company holidays and work schedules; public holidays come preloaded.
  2. Automatic filling during the month. As PDKS and leave records are created, the related days are calculated in the ledger.
  3. Month-end check. Resolve the warnings; HR completes missing records and day marks, and managers see their own teams' sheet.
  4. Export. The checked month is downloaded as a CSV file and used in payroll preparation.
  5. Coming soon: approval, lock and transfer to payroll. HR will approve the period, the period will be locked and the locked period will automatically become an input to the payroll calculation.

Because the ledger also holds health-related information such as sick days, it is handled with care under KVKK (Türkiye's Personal Data Protection Law No. 6698): sick days appear with their own code to the employee, HR, the company owner and the system administrator, while the team manager sees them as “on leave”. Details are on the Security and data protection page. You can see the plan tier for your number of active employees and the annual prices on the Pricing page.

How do PDKS, the attendance ledger and payroll connect?

Two links work today: PDKS produces the raw record, and the attendance ledger turns it into a day code together with leave and holiday information. The third link is coming soon: payroll will use only a locked ledger, and when payroll comes out a day short, the difference can be checked against the day codes in the locked ledger.

Stage Module Output Checked by Status
Recording PDKS Clock-in and clock-out times Employee; HR for manual records Available
Classification Attendance Ledger Day codes and working hours HR; managers see their team Available
Lock Attendance Ledger Locked monthly sheet Manager and HR Coming soon
Calculation Payroll Pay, deductions and premium days Payroll officer Available; feed from the attendance ledger coming soon

Once the lock arrives, an unlocked ledger will not be transferred to payroll, and any change to a locked ledger will require the period to be reopened with a reason and recorded. The working-time limits are based on Labour Law No. 4857; at workplaces that apply compensatory time (denkleştirme), the weekly limit warning may not reflect the actual situation.

Frequently asked questions

What is puantaj, and how is it different from payroll?

Puantaj, the attendance ledger, shows how each of an employee's days in the period went: worked, on leave or on sick leave, and for how many hours. Payroll calculates pay, deductions and premiums; in common practice, the attendance ledger is the input to payroll. In Sora İK, automatic transfer of the ledger to payroll is coming soon; today, payroll days are calculated from the start and leaving dates.

Can the attendance ledger be used without PDKS?

Yes. At workplaces that do not keep clock-in and clock-out records, the work schedule is set so that no record is expected, and working days are then counted as worked. Approved leave from Leave Management, weekly rest days and holidays are still posted automatically. Exceptions such as absence, sick leave or excused absence are entered by HR as day marks, so manual input is limited to exceptions.

What if an error is found in the attendance ledger?

The sheet is calculated from source records, so corrections are made there: HR adds a missing PDKS record or cancels a wrong one, or deletes a wrong day mark and enters the correct one; the sheet recalculates automatically. Every manual record and mark goes to the audit log with who made it and when. The period lock and reopening a locked period with a reason are coming soon.

How does overtime appear in the attendance ledger?

Overtime is not calculated from clock-in records; the coming-soon Overtime & Compensatory Time module will add calculation and approval. Today, HR enters overtime and work at increased hours manually as items with date and minutes, shown in their own column in the ledger totals and CSV file. The same screen shows the year's overtime total, a warning above the 270-hour annual limit and a reminder to obtain employee consent.

Can we change the attendance codes to suit our workplace?

No. Attendance codes are fixed in Sora İK and cannot be changed by the company: worked day, weekly rest day, public holiday, annual leave, paid leave, sick leave, unpaid leave, absent and not employed. Each code's abbreviation is shown on screen with its description. The columns of the CSV file are also totalled by these codes; a company-specific code set is not available yet and is coming soon.

What can managers see in the attendance ledger?

Managers see only their direct and indirect teams' ledger. To them, sick days and paid excused days share one code, “on leave”, so health information is not distinguished; the employee, HR, the company owner and the system administrator see the sick code. Only the last three can enter records or marks and download the CSV file. Manager review of the period is coming soon.
